Client Service Terms & Policies-

1. Scope of Services
These Client Service Terms & Policies apply to all services offered by The Ink&Seal Co. LLC, including but not limited to, mobile notary services, remote online notarization (RON), loan signing services, estate planning- related notary services, small business/corporate notary services, and apostille-related services.
By submitting a booking, request, order, or payment through our website, you agree to these Terms & Policies.
2. Booking Types (How Scheduling Works)
Depending on the services selected, you will either:

Book Now (Auto-Booking):
Your appointment time is reserved automatically based on availability
2. Request to Book (Manual Approval):
You submit a request and we review details (documents, signer count, travel distance, special requirements, etc.). Your request is not confirmed until you have paid your invoice and received a confirmation email.
Important: Submitting a request does not guarantee availability until confirmed by The Ink&Seal Co. LLC
3. Payments & Invoicing

For services that allow online payment at checkout, payment is due at the time of booking/order.

For request-based services (ex: Loan signings and Apostille Facilitation), you will receive an invoice after we have reviewed your request. Your appointment is not confirmed until payment is received, unless otherwise in writing.

Any remaining balance, if applicable, is due prior to or at the time of service.
4. Pricing, Add-ons & Additional Fees
Your total price is based on the service selected and any add-ons chosen. Additional fees may apply in certain situations, including but not limited to:

Additional notarizations, signers, witnesses, or documents beyond what was booked

Printing, scanning, or document handling (if requested/required)

Travel beyond the standard service area
-
After-hours, rush, same-day, or holiday requests
-
Waiting time beyond a reasonable grace period

Complex signings or special handling requirements
If additional fees apply, they will be disclosed prior to confirmation when possible. If a change occurs during the appointment (ex: more signers/docs than stated), the additional balance may be collected at the appointment.
5. Client Responsibilities (Required for Service)
To complete services, clients must:

Provide accurate booking/intake information

Ensure all signers are present, willing, and competent to sign

Provide valid, un-expired, government-issued ID for all signers (as required by NYS law and/or RON platform requirements)

Have complete documents ready at the time of service (i.e: no missing pages; no blank spaces where information is required)

Ensure access to the signing location and a safe, appropriate environment for the appointment
If these requirements are not met, service may be delayed, rescheduled, or refused, and fees may still apply.
6. Cancellations, Rescheduling & No-Shows

Clients should provide at least 6 hours' notice to reschedule and 12 hours' notice to cancel.

Late cancellations (less than 12 hours), same-day cancellations, or no-shows will result in forfeiture of payments made.

If we arrive and the appointment cannot be completed due to client circumstances (missing ID, signers not present, incomplete documents, etc.), the appointment will be treated as a late cancellation and forfeiture of payments made

7. Notary Limitations (No- Legal Advice)
The Ink&Seal Co. LLC is not a law firm and does not provide legal advice. We cannot:

Advise you on which notarization type you need

Draft or alter legal content of documents

Choose documents for you
-
Notarize documents that do not meet legal requirements
We reserve the right to refuse any notarization that is unlawful, incomplete, suspicious, or non-compliant.
8. Apostille Services (Facilitation Only)
Apostille services provided by The Ink&Seal Co. LLC are facilitation/courier/administrative support. Government processing times are outside of our control and are not guaranteed. Government fees and third-party fees, if any, are separate and typically non-refundable once submitted.
9. Refusal of Service & Safety
We reserve the right to refuse or discontinue service for reasons including but not limited to:

Non-compliance with ID or legal requirements

Suspected fraud, coercion, or unlawful activity
-
Unsafe, inappropriate, or hostile environments
-
Abusive, threatening, or disrespectful behavior
10. Refunds
Because services involve reserved time, preparation, travel, and administrative handling:

Payments are generally non-refundable once services have been rendered or resources have been committed.

Refund requests are reviewed case-by-case and are granted at the discretion of The Ink&Seal Co. LLC, unless required by law.
